We're excited to offer a hands-on internship opportunity for a motivated individual to play a key role in our company's transition to a fully paperless environment. As a Document Digitization Intern, you will help convert our physical records into high-quality digital files, improving accessibility, organization, and long-term preservation while reducing our reliance on paper storage.
This is an excellent entry-level role for students or recent graduates interested in office administration, records management, digital archiving, information technology, or business operations. You'll gain practical experience with scanning technology, file management systems, and modern workplace efficiency practices.
Duties:
* Prepare physical documents for scanning by removing staples, paper clips, sorting, and organizing batches
* Operate high-volume document scanners and related equipment to produce clear, accurate digital images
* Perform quality checks on scanned documents to ensure legibility, completeness, and proper orientation
* Index, rename, and categorize digital files according to established naming conventions and folder structures
* Upload scanned documents into our document management system or cloud storage platform
* Assist with basic data entry, metadata tagging, or OCR (optical character recognition) processing when needed
* Help maintain an organized workspace and track progress on scanning projects
* Identify and flag any damaged, sensitive, or special-handling documents for supervisor review
* Contribute ideas to improve the digitization workflow and support our ongoing go-paperless initiative
**Qualifications \& Requirements**
* Current enrollment in (or recent graduate of) a college/university program (any major welcome; business, information science, archives, or IT-related fields preferred)
* Strong attention to detail and commitment to accuracy
* Basic computer proficiency (comfortable with file management, Microsoft Office/Google Workspace)
* Ability to handle repetitive tasks with consistency and care
* Good organizational and time-management skills
* Reliable, punctual, and able to work independently after initial training
* Comfortable working with paper documents (occasional lifting of boxes/files up to 20–30 lbs may be required)
**Preferred (but not required)**
* Prior experience with scanners, printers, or document imaging software
* Familiarity with cloud storage tools (e.g., Google Drive, SharePoint, Dropbox)
* Interest in records management, digital preservation, or paperless office initiatives
* Basic understanding of file naming standards or metadata
